Quotes & Proformas

The CRM module handles all customer quote requests and the full proforma-to-invoice workflow.

Processing a Quote Request

  1. Navigate to CRM in the left sidebar, then select Quote Requests.
  2. Review incoming requests and click on one to open the details.
  3. Assign the request to a team member using the Assignment dropdown.
  4. Click Create Proforma to begin the response process.
  5. Complete the proforma with product lines, quantities, and pricing.
  6. Click Approve and Send to dispatch the proforma to the customer by email.

Customers can view and confirm proforma invoices directly through the Customer Portal.

Understanding Proforma Invoices

A proforma invoice is a preliminary invoice sent to a customer before a sale is confirmed. In BMP360:

  • Proformas are created through the CRM module in response to customer quote requests.
  • They are approved internally before being sent to the customer.
  • Customers can view and confirm proformas through the Customer Portal.
  • Proformas are not included in revenue or P&L reports until converted to official invoices.

Converting a Proforma to an Invoice

  1. Navigate to the approved proforma invoice in the CRM or Invoicing module.
  2. Click Convert to Invoice.
  3. Review the pre-populated invoice details carried over from the proforma.
  4. Click Finalise to create the official invoice.

Once a proforma is converted to an invoice, it cannot be edited. The invoice values are permanently sealed at creation.

Customer Communication Workflow

BMP360 includes an integrated CRM inbox for managing inbound email communications alongside quote requests. All communication events are audit-logged, providing a complete history of every customer interaction.
